1. Begin with the USDOT number

A company name is not enough. Names can be similar, copied, or presented with a different punctuation style. The USDOT number is the better starting point because it identifies the regulated carrier record.

Open the FMCSA SAFER Company Snapshot and search by USDOT number. Check:

  • the exact legal name and any DBA;
  • the operating status;
  • the physical and mailing location;
  • the public phone number;
  • the operation classification and cargo carried;
  • the date of the latest MCS-150 information.

Do not read one green status label and stop. Compare the record with the rate confirmation, carrier packet, email domain, phone number, and person who contacted you.

2. Check authority and insurance separately

SAFER is useful, but it is not the whole record. Use the FMCSA Licensing & Insurance search to review authority and insurance filings associated with the docket number.

Ask three separate questions:

  1. Is the operating authority appropriate for the freight being tendered?
  2. Is the authority currently authorized rather than pending or inactive?
  3. Is there an insurance filing on record, and can the carrier provide a current certificate directly from the agency when requested?

An FMCSA filing is not a substitute for reading the current certificate of insurance. Coverage limits, exclusions, cargo coverage, policy dates, and certificate-holder wording still need review.

3. Match identity signals, not just documents

FMCSA’s fraud-prevention guidance emphasizes comparing contact information and carefully examining documents. That matters because a professional-looking packet can still contain a mismatched phone number, altered certificate, or copied authority.

Pause when:

  • the legal name does not match the official record;
  • the email or phone changed without a clear explanation;
  • the payment instructions arrive from a new contact;
  • the carrier resists direct insurance verification;
  • the pickup driver or equipment does not match the dispatch details;
  • pressure is used to keep you from making a verification call.

A small carrier is not automatically a risky carrier. A mismatched identity is.

4. Verify the truck that actually arrives

The carrier record and packet establish who should be moving the load. The pickup check establishes who is physically taking it.

Before release, confirm the assigned:

  • driver name and direct contact;
  • tractor and trailer numbers;
  • license plate information when part of your procedure;
  • pickup reference and commodity;
  • destination and appointment details.

The goal is not to create paperwork for its own sake. It is to make sure the person, truck, carrier, and load all describe the same transaction.

5. Record when the check was performed

Carrier information changes. Save the verification date in the load file and recheck live records when company policy requires it. A screenshot may document what was seen, but the live FMCSA record remains the authoritative source for a current check.

Document the result

Save the verification date and the records reviewed in the load file. If the official record, packet, contact details, driver, or equipment do not line up, stop and resolve the difference before the freight moves.
